Graves Dougherty Hearon & Moody, a midsize, downtown law firm is seeking a full-time Legal Administrative Assistant. This position will support the firm’s delivery of exceptional client service through a range of administrative and legal support tasks that require accuracy, strong organizational skills, strong interpersonal skills, computer proficiency, and the ability to work in a fast-paced environment.
Job Duties and Essential Functions
This role will support the litigation section’s legal support staff in a range of administrative duties, including, but not limited to:
- Assembling case materials for trials, hearings, arbitrations, and mediations
- Creating, maintaining, and indexing digital files in the firm’s document management system
- Coordinating mailings, deliveries, copy jobs, and court (paper and electronic) filings, including bankruptcy filings and related processes
- Providing backup secretarial assistance to the litigation legal assistants and to attorneys as requested by the legal assistants
- Assisting the Central Files personnel with processes related to onboarding new clients and opening new matters
- Other duties as assigned
Qualifications
- High school diploma or equivalent required
- Bachelor’s degree preferred, but not required
- Previous experience in legal or professional services environment preferred
- Strong time management skills and the ability to work under pressure in a fast-paced environment; ability to coordinate multiple tasks concurrently
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
- Strong organizational skills and attention to detail
- Must be a team player with a positive attitude and willingness to learn
- Discretion in handling confidential and sensitive information
- Strong analytical skills and the ability to learn identification of case-related documents
- Excellent communication skills, both written and verbal
- Ability to move boxes and lift 25 lbs.
